Privacy Policy

Your privacy is of the highest importance to us. This privacy policy is designed to give you a clear explanation of our data processing policies. Please note that this policy may be amended in future to reflect any changes in our services, the law or our organisation.

Information Use
Except as set out in this policy, Ultima will not sell or rent to any third party any personal information that we collect without the permission of the person to whom that information relates. Ultima may distribute the information to a third party who is working on our behalf and such use will be strictly limited to a specific activity. Ultima only uses email lists provided by email list brokers with whom we have a trusted relationship. Also, Ultima will only use email addresses provided by third parties who have confirmed that the information provided has been compiled in accordance with the Data Protection Act and Privacy Act. This means that email addresses have been provided by the person concerned in the full knowledge that their details will be sold or distributed to other organisations.

From time to time you may choose to supply us with personal information. If this information is provided to us for purposes that involve our business partners (vendors) we may provide the relevant business partners with the information that you supply.

Unsolicited Emails/Spam
Ultima strictly limits the number of emails sent to contacts and the subject of these emails will always relate to the IT products and services that we provide. It is not our intention to bombard our customers, or prospective customers, with unsolicited mail and we remove a contact's details when requested to do so.

Customer contacts: If your details are on Ultima's database because your organisation purchases goods and/or services from us, we believe that the emails will contain useful information that is relevant to you in your professional capacity. If you do not wish to receive emails of this nature please let us know by emailing marketing@ultimabusiness.com.

Other contacts: If you are not an Ultima customer your details will be included on our database for one of the following reasons:

a) Vendor lead. You have enquired about a specific product via a manufacturer and they have passed your details to us in order that your enquiry may be followed up.

b) Event registration/attendance. You have provided your details when registering for one of Ultima's seminars, or have provided your details when visiting Ultima at a conference/exhibition.

c) Third party database. Ultima occasionally purchases lists of IT contacts from an approved data supplier, i.e. it complies with the legislation regarding the sale of such lists. In such instances, information, including email addresses, will have been provided by the individual concerned in the full knowledge that the information will be provided to third parties.

If you do not wish to continue to receive emails relating to Ultima's IT services, please let us know by emailing marketing@ultimabusiness.com.

Ultima does not knowingly get involved in "spamming" activities of any kind and we work only with business partners who we believe have similar anti-spamming policies.

Opt-out
Ultima will always provide recipients with an opportunity to opt-out or 'unsubscribe' from receiving further email content. This is because we only want to send information to people who are interested in receiving it. Ultima is responsible for responding to 'opt-out' or 'unsubscribe' requests when requested to do so. In turn, our business partners are responsible for complying with all such requests by removing the appropriate person from their lists.

Data Protection
Ultima will always comply with the legal obligations on us in relation to data protection set out in the Data Protection Act 1998 and we are committed to complying with the Privacy and Electronic Communications Directive 2003. We will only work with business partners who adopt a similar approach.
